Privacy Policy

QubiLibrary (the "App") is operated by Qubimonk Technologies Pvt. Ltd., India ("we", "us"). This policy explains what personal data the App and its website collect, why, who it is shared with, and the choices you have. It applies to library owners and staff ("Library Users") and to students registered by a library ("Students").
1. Who is responsible for which data
For a library's business records (its students, memberships, seats, fees, payments and attendance) the library is responsible for collecting the data and getting any required consent; we process it on the library's behalf. For account data of Library Users and for how the App itself works, we are responsible.
2. Data we collect

We do not collect your contacts, precise location, SMS or call logs. Card, UPI and bank details for online payments are entered on Razorpay's secure checkout and are never stored by us.
3. How we use data
- To provide the service: accounts, admissions, seats, fees, receipts, reminders and online payments.
- To send account emails such as verification and password-reset codes.
- To keep the service secure: login protection, fraud prevention and audit logs.
- To support you when you contact us.
We do not sell personal data and do not use it for advertising.
4. Who we share data with
Only with service providers that help us run QubiLibrary, under contract and only for that purpose:
- Amazon Web Services – servers and database.
- Cloudflare R2 – storage of uploaded files such as photos and documents.
- Google Firebase Cloud Messaging – delivering push notifications.
- Google Sign-In – if you choose "Continue with Google".
- Google Gmail (SMTP) – sending verification and password-reset emails.
- Razorpay – processing online fee and subscription payments.
A library can see the data of its own students only. Qubimonk support staff may access library data to provide support or when required by law; such access is logged. We may disclose data if required by law or a valid order of a competent authority.
5. Security
Data is encrypted in transit (HTTPS). Passwords are stored as one-way hashes, payment gateway secrets are encrypted at rest, and every library's data is kept separate. Access by our staff is restricted and audited.
6. How long we keep data
We keep data while the account or library is active. When an account is deleted we remove or anonymise personal data within 30 days, except records we or the library must keep by law (for example payment and receipt records for tax and accounting, kept up to 8 years), and backups, which are overwritten within 35 days.
7. Your rights
Under India's Digital Personal Data Protection Act, 2023 you may ask to access, correct or erase your personal data, withdraw consent, and nominate another person. Students should normally contact their library first, because the library manages their records; you can also write to us. To delete your account see Delete account.
8. Children
The App is meant for people aged 13 and above. If a library registers a student under 18, the library is responsible for obtaining consent from the parent or guardian.
9. Changes
We may update this policy. We will change the date above and, for important changes, notify users in the App.
